The Operating Standards
Three Account Standards
These standards apply across commercial construction, maintenance, snow, irrigation, lighting, and turf work.
A Named Lead, a Direct Line
Every commercial account has a named lead: the person who knows the site, the contract, and the history. Construction projects and recurring maintenance accounts each run under the lead for that work, so the person answering has the answer. When something on the site needs attention before the next scheduled visit, the account lead is the single call. There is no phone tree and no ticket queue.
The named lead and direct line are established when the work starts.
48 Hours, Year-Round
Calls and emails are returned within 48 hours. During active construction projects and storm operations, communication runs tighter than that, but 48 hours is the standard the account can hold Peabody to. Questions about scope, scheduling, a site condition, or an invoice go to the same named lead, and the answer comes from someone who knows the property.
The standard applies in February the same as it does in May.
Documented, Not Remembered
Photo documentation of the work. Written scopes in every contract, with changes handled as priced, approved change orders. Service records on recurring visits, and walkthroughs at startup and closeout; construction projects carry progress and closeout records. When a question comes up in a board meeting, the account has records, not recollections.
The record changes with the work, but documentation is not optional.
Service by Season
Landscape service runs through the growing season. Snow and ice contracts cover winter, while construction and enhancement planning may continue between field seasons.
Spring
Startup walkthroughs, cleanup, irrigation activation, turf program launch, and the season plan set with the account.
Summer
Scheduled maintenance, enhancement work, irrigation service, and site standards held through the heaviest use months.
Fall
Closeout walkthroughs, leaf and bed work, winterization, overseeding windows, and snow plans finalized before the first event.
Winter
Snow and ice operations under contract, storm documentation, and next season’s construction and enhancement planning.
The Paperwork Side
Certificates of insurance and the documentation procurement asks for are provided during contract review.
Fully Insured
$1,000,000 general liability per occurrence ($2,000,000 aggregate), $1,000,000 auto, and a $3,000,000 umbrella. Certificates on request.
Workers' Compensation
Covered through the Ohio Bureau of Workers' Compensation state fund.
Landscape and Snow Crews
Crews run landscape work in season and snow and ice service in winter, so one company covers the property all year.
